(a) Each user of the juvenile probation department's case management system must obtain a password to the system. Passwords must not be shared with department employees or other persons. (b) The juvenile probation department must limit the number of employees who are authorized to delete information in the department's case management system. (c) Access to the department's case management system must be removed concurrent with the termination of a user's employment. (d) A juvenile probation department that does not use the Juvenile Case Management System (JCMS) must: (1) establish and follow a written policy for backup and restoration procedures relating to data in its case management system; and (2) maintain an off-site backup storage system.
